You do, once. Every separable component gets its own row: the box, the film, the label, the glue, the pallet. Material, weight in grams, where the figure came from, and the date. When the next customer sends their own version of the table, the same rows answer again.
The recycled share is worked out on a weight basis, never by averaging the components' percentages. A 32 g board box at 70 % and a 4 g bag at 0 % is 62 %, not 35 %.
And here is what no spreadsheet does: a component nobody has answered for is not treated as a zero. It leaves the sum and is named, and beside the figure stands how much of the packaging weight it actually covers. The gap stays visible.
Every outgoing delivery has a receiver, a country and its packaging rows. The multiplication happens by itself: pieces times the weight per component, split by material and by country. That is the same number the register asks for — it already exists, because the shipment was recorded when it went out.
The weight is frozen on the line when you record it. Correct the catalogue next year and it changes what happens next, never a figure you have already reported. On a declaration every number comes from the copy frozen into the row, not from the live catalogue.
Where a scheme counts in units rather than kilograms — France counts UVC — the units travel beside the kilograms. A row that carries units and no weight enters no kilogram total and is still not lost: it stands in a block of its own until somebody weighs it.
It is. Verpact in the Netherlands and BDO in Poland both describe the spreadsheet method themselves, and it is acceptable. Nobody is going to make you buy software.
But a spreadsheet does exactly what it is told and does not remember what it was told last year. It does not keep what was true yesterday — correct a weight in a cell and last year's report quietly becomes a different report. It does not say which figures are estimates: 82 % looks the same whether a certificate or a guess sits behind it. It does not refuse to average percentages if you ask it to. And it does not remember who answered, or when.
None of that is the spreadsheet's fault. It is a tool without a memory, and compliance is a question about memory: what did you know on the day you filed it.
The manual is inside the product, in ten languages, not sold separately. And the assistant answers in 24 European Union languages — including when the program itself is open in English. Ask in Polish, the answer comes back in Polish.
The assistant cannot see your data. It has no database access at all: it knows the name of the screen, the text of the error and a count — no names, no prices, no customers.
You create a link and send it. Your supplier needs no account — the page opens without a password, shows only their own materials, and asks about those: recycled content, country of production, PFAS, weight per unit. The link has an expiry date and can be switched off at any moment.
When an answer arrives it does not walk into your catalogue by itself. It waits — with the name of whoever answered and the date — and you see what their answer would change before you accept it. If it is weaker than what you already hold, you can leave it out.
And another route is being built. If your supplier also uses Tarafex, they should not have to retype what already sits in their own catalogue — the answer can come from there. The door is built, the rest is being made. We are not promising a date; when it works, it will appear here.
It can, if that system is Kubifex. Kubifex is material accounting for a wood manufacturer: it follows packs and boards from arrival to the outgoing order, holds recipes and coefficients, and keeps FSC chain-of-custody records. It is a separate Vivifex product with its own price.
If the outgoing order already exists in Kubifex — with its pallets, film and straps — the packaging rows do not have to be entered a second time in Tarafex. It is the same principle as everywhere on this page: a figure is created once, where the work happens.
Kubifex is not a requirement. Tarafex works on its own, and most people use it that way.

Not for an online store. There is no Shopify connection and there will not be one — if your kilograms live in an order feed, a different tool suits you, and those exist.
What Tarafex does not do: it does not register you in any country, it is not your authorised representative, it does not pay a scheme and it does not file for you. Those are services, not software. And it does not calculate the money — the country rates are in our data, but the invoice is not part of the tool.
And one more thing we cannot do. Nobody at Vivifex can sign in as you, see your screen or open your panel. There is no support door in the software — which is why asking for one gets a no rather than a wait.
